Class and Bulb Permissions: Co-editor, Facilitator and TA roles

IMPORTANT NOTES:
  • This feature is only available to users who are part of an institutional license.
  • Instructors from the master license are always able to collaborate with all instructors in the license regardless of sub-account.
  • Instructors from child schools are always able to collaborate with instructors in their same school.
  • To enable instructors from child schools to collaborate with other schools in the same license, contact help@playposit.org.

User roles provide each user with the appropriate level of access rights and privileges. PlayPosit has mapped out various roles within our platform to allow for the specific level of collaboration. 

This article is broken up into two categories: class permissions and bulb permissions. Within each of those categories are the two different roles that are available and an explanation of what their functionalities entail.

Bulb permissions

To share access to a bulb, whether for co-editing or for viewing/assigning purposes, PlayPosit offers three different bulb-specific roles:

  • Owner (Most permissions)
  • Co-Editor (Some permissions)
  • Facilitator (Least permissions)

If a user creates a bulb, they automatically receive the Owner role. The other two roles will only have access to a specific bulb that the owner chooses. Only institutional users have the ability to add Co-editors or Facilitators to their bulbs, which will make the shared bulb appear in the user's My Bulbs library. The new collaborator will be able to use the bulb in their own courses, and if given permission, make edits to the bulb.

Note: Admin can view any bulb without being explicitly added as a Co-owner or Facilitator by using the Admin Dashboard to log in as the instructor or by viewing the bulb in the Media Library. Click here to learn more about the Admin Dashboard.

Co-editor permissions:

  • Can edit a bulb they don't own.
  • Can change settings/tags for bulbs they don't own.
  • Can view bulb they don't own.
  • Can assign a bulb they don't own.
  • Cannot share access to bulbs they don't own.
  • Can monitor a bulb they don't own.
  • Can unlink a bulb from a class they can access
  • Can remove themselves from bulbs they don't own.
  • Cannot delete a bulb they don't own.
  • Cannot export analytics of a bulb.
FERPA Consideration: All owners and co-editors of a bulb can download analytics for all learner attempts on that bulb (regardless of class ownership). If this is a concern, then after the collaborators have finished co-editing the bulb, each instructor should make a separate copy of the bulb before assigning it to learners.

A pencil icon will appear next to the bulb thumbnail in the My Bulbs tab and Classes tab when a user is a Co-editor.

Facilitator permissions:

  • Cannot edit a bulb they don't own.
  • Cannot change settings/tags for bulbs they don't own.
  • Can view a bulb they don't own.
  • Can assign a bulb they don't own.
  • Cannot share access to bulbs they don't own.
  • Can monitor a bulb they don't own.
  • Cannot download analytics for bulb they don't own.
  • Can unlink a bulb from a class they can access
  • Can remove themselves from bulbs they don't own.
  • Cannot delete a bulb they don't own.
  • Cannot export analytics of a bulb.

The facilitator role is perfect for a TA, graduate assistant or instructional design team working with a teacher that needs to assign a bulb for a class.

An eye icon will appear next to the bulb thumbnail in the  My Bulbs tab and Classes tab when a user is a facilitator.

Add a Co-editor or Facilitator

  1. From the My Bulbs library, click the bulb thumbnail or the triple dot menu on the right side of the bulb and select Collaborate
  2. In the Collaborate modal under Manage Permissions, enter the emails of users to add as a Co-editor or Facilitator. Note: The users must belong to the same institutional license to be added as a Co-editor or Facilitator.

  3. Click the pencil icon on the right and select Can Edit or Can View/Assign from the dropdown menu. For more information on the roles, click here
  4. After the role is selected, click Add Access
  5. A confirmation popup will appear to confirm that they have been added as a Co-editor or Facilitator. 
  6. To select multiple bulbs for collaboration, select the checkboxes next to the desired bulbs. 
  7. Click Manage Permissions and follow steps 4 and 5 above. 
Note:
  • Adding Co-editors or Facilitators to bulbs is meant for non-simultaneous editing of content. Simultaneously editing bulbs may lead to unintended consequences.
  • If an instructor uses an LMS and has co-teachers, they will see that those co-teachers also have access to the bulbs assigned to that LMS course. The reverse is also true, i.e. if a user is a co-teacher in an LMS course, they will see bulbs in their My Bulbs library that other teachers own.

Transfer ownership

Change ownership of a bulb or multiple bulbs to an instructor that is part of the same institutional license. 

Note: Only one user can be the owner of a bulb. Learner-made bulbs cannot be transferred.
  1. From the  My Bulbs library, click the bulb thumbnail or the triple dot menu on the right side of the bulb and select Collaborate. 
  2. If selecting multiple bulbs, select the checkboxes next to the desired bulbs, then click Manage Permissions.
  3. In the Collaborate modal under Manage Permissions, click the Select Access dropdown menu and select Make Owner. Note: The user must already be added as a co-editor or facilitator before transferring ownership. 
  4. A warning message will display to confirm the transfer. 

  5. Once the ownership of the bulb has been transferred, the original owner of the bulb will have a co-editor status and a pencil icon next to the bulb. 

Edit or remove permissions

After adding Co-editors or Facilitators user permissions can be edited or removed. 

1. From the  My Bulbs library, click the bulb thumbnail or the triple dot menu on the right side of the bulb and select Collaborate

2. In the Collaborate modal under Manage Permissions, click the Select Access dropdown menu and choose a different role or Remove Access

View owner

View the owner of the bulb if you are listed as a Co-Editor or Facilitator of a bulb (denoted by the pencil or eye icon in the My Bulbs library).

From the  My Bulbs library, click the bulb thumbnail or the triple dot menu on the right side of the bulb and select Collaborate

In the  Collaborate modal under Manage Permissions, view the owner and anyone else who has editing or viewing access to this bulb.

Bulb Details

From the  My Bulbs library, click the bulb thumbnail or the triple dot menu on the right side of the bulb and select Bulb Details

Bulb Details will list the Classes the bulb has been assigned to, the Assigned Date, and the Archived date, if applicable.

Note: If a user is an admin of an institution, view the Bulb details in the Administration tab Media Library.

Note: Additional Bulb activity details are available for Enterprise and some Institutional licenses. For more information, reach out to the Account Manager or help@playposit.org. Bulbs created after January 24th, 2022 will include additional Bulb activity.  Note: Any Bulbs created prior to this date will not include additional details. 

Bulb activity includes:

When and who added, deleted, and updated videos to a Bulb. 

When and who created, updated, and deleted interactions in a Bulb. 

When and who linked, unlinked, and relinked Bulbs via LTI. 

Class permissions

The instructor and teaching assistant roles are available at the class level. Both roles will have access to bulbs that have already been linked in a class.

Instructor vs. Teaching assistant

An instructor is able to edit the bulbs assigned to a class. They are able to unlink the bulb only if they are an owner or co-editor of that specific bulb. Instructors can moderate discussion forums and manually grade bulbs.

When an instructor looks at the  Classes > Bulbs folder, and clicks the triple dot menu next to a bulb they own or can edit, they will be able to EditMonitor, or Preview the bulb.

A teaching assistant of a class is able to moderate discussion forums and manually grade bulbs. If they do not already have any ownership of a bulb assigned to the course, a teaching assistant will not be able to edit or unlink the bulb. However, if a teaching assistant has ownership of or edit access to the bulb, they will be able to edit or unlink the bulb from the course.

When a teaching assistant looks at the  Classes > Bulbs folder, and clicks the triple dot menu next to a bulb they do not own or can edit, they will only be able to Monitor or Preview the bulb.

Add a Teaching Assistant

From an LMS: When a user launches an assignment that is linked to a Playposit bulb from the Learning Management System (LMS), the user will automatically receive the Facilitator permissions to all bulbs within that LMS course. Owners can manually add co-editors to their bulbs by following these instructions.

From PlayPosit (non LMS users):

  1. Select Classes from the sidebar menu. 
  2. Click the triple dot menu next to the class to grant permission for and select CollaborateOr select the class first and then click Collaborate
  3. In the Collaborate modal, enter the emails of the users to add. Note: The users must belong to the same institutional license to be added as an Instructor or Teaching Assistant. 
  4. Click the pencil icon on the right and select Instructor or Teaching Assistant from the dropdown menu. For more information on the roles, click here
  5. Once the role is selected, keep the toggle on Update user bulb permissions to have class permissions match the bulb permissions. 
    • For example, if Ruth is a co-editor on a bulb that is assigned to Math 101 and you want her to be a teaching assistant for Math 101, if you toggle on Update user bulb permissions, she will no longer have the same permissions as she did as a co-editor. Or if Ruth is a facilitator on a bulb that is assigned to Math 101 and you want her to be an instructor in Math 101, if you toggle on Update user bulb permissions, she will have more permissions as an instructor than a facilitator. 
    NOTES: For the co-instructor and teaching assistant to monitor the playlists in the class, they need to be added as the co-editors or facilitators to the playlist. Please follow the workflow in this article to add them as co-editors or facilitators to the playlists.
  6. After the role is selected and bulb permissions are determined, click Share Access
  7. A green notification will pop up to confirm that they have been added as an Instructor or Teaching Assistant. 

Edit or removing permissions

From the Classes page, click the triple dot menu next to the class and select CollaborateOr select the class first and then click Collaborate

In the  Collaborate modal, click the Select Access dropdown menu and choose a different role or Remove Access

Leave Update user bulb permissions toggled on to remove access to the bulbs assigned within this class.

Transfer classes

  1. Navigate to the Classes page, click the triple dots icon, and select Collaborate.

  2. Enter the email and click Share access to add other instructors as co-instructors.

  3. Expand the drop-down menu behind the co-instructor, and select Make Owner. 

  4. Click Transfer class.

  5. The newly added instructor will become the owner of the class and will also be the owner of all the bulbs in this class.
