How does PlayPosit support collaboration between instructors?

From a single interaction to an entire class, PlayPosit provides multiple levels of support for instructors to share their work with their colleagues or work collaboratively on creating content in PlayPosit.

By utilizing collaboration options in PlayPosit, instructors can save time on content creation within PlayPosit by reusing the materials that were created before. Furthermore. instructors can always copy, adjust, and modify the shared content to best suit their needs. 
Besides shortening the content creation time, the ability to share and add collaborators acts as a great tool for quality assurance. The sharing ability provides a convenient method for instructors to share their content for review and work together to revise the content if needed. These features can also help the administrators and the instructional design team to work directly with the instructors and support them during the creation process.
Most importantly, the shared content will be a valuable resource to inspire instructors to utilize PlayPosit in their teaching or gain some inspiration from others, which can help create a community among instructors and facilitate them to come up with innovative teaching methods and materials.

Interaction

Sharing interaction templates

After building the interactions, instructors can save the interactions group as a template and share it with other instructors. Please follow the steps below to save the interactions as templates.

  1. Click the triple dots icon on the top right of the interaction, and select Save as Template.

  2. Update the name for this template, and select one of the privacy settings with the drop-down menu. The templates can be shared with the district/institution, only the school/site the instructor belongs to, or private.

  3. Click Create Template to save the template.

View and add interaction templates to bulbs

  1. Select My interactions.

  2. Click Filter.

  3. Change the Type to Templates, and select the privacy settings to see interaction templates from the district/institution or the school/site. Then click on Filter to search.

  4. Select the desired templates by clicking on the checkbox in front of them, and click Preview Interactions.

  5. After previewing the interactions, click on Add Interactions to import the templates into the bulb.

Bulb

Bulb’s Ownership

Instructors can find their ownership of the bulb by checking the icon in front of the bulb’s title. There are three different types of ownership:

  1. Owner: No icon in front of the title. The instructor is the author of the bulb.
  2. Co-owner: A pen icon in front of the title. The co-owner can edit, assign, and monitor the bulb but can not add other instructors as collaborators to the bulb.
  3. Facilitator: An eye icon in front of the title. The Facilitator can assign and monitor the bulb but can not edit or add collaborators to the bulb.

Add collaborators to the bulb

  1. Click the thumbnail image or the triple dots icon of the bulb, and select Collaborate.

  2. Select the Manage permissions tab and enter the email address for the collaborator. Choose the access type to be “Can edit”(co-owner) or “Can view/assign”(facilitator), and select Add access.

NOTES:
  • Only the instructors from the same school can be added as collaborators to the bulb.
  • While they can’t add collaborators to the bulbs, co-owners and facilitators can follow these steps to view who is collaborating on the bulb with them.

Edit permissions or transfer bulb’s ownership

  1. Click the thumbnail image or the triple dots icon of the bulb, and select Collaborate.
  2. Select the Manage permissions tab. The access type for each collaborator will be listed behind their name.
  3. Expand the drop-down menu to change the access type, remove the access, or make a collaborator a new owner for this bulb. If the ownership is transferred to another instructor, the original owner will become the co-editor of the bulb.

Add collaborators to multiple bulbs at once

  1. Select the bulbs by clicking the checkbox in front of them. Please note that only the bulbs that belong to the instructor can be selected.
  2. Select Manage permissions.

  3. Enter the email address to add the collaborator. Choose the access type to be “Can edit”(co-owner) or “Can view/assign”(facilitator), and select Add access.

Sharing bulbs with other instructors

If the instructor does not want to work on the same bulb with other instructors but wants to let them copy the bulb and make their own changes, there are two options to share the bulb for other instructors to copy into their accounts.

  1. Share the preview link:

    1. Click on the bulb’s thumbnail image or the triple dots icon, and select collaborate.
    2. Copy the preview link, and share it with other instructors.
    3. When other instructors open the link, they can preview the bulb and make a copy of their account.
  2. Share through the Premade bulbs library: Instructors can view the bulbs created by other instructors in the same organization and copy those bulbs from the Premade bulb library. Please follow the steps below to adjust the settings for whether the bulbs will display in the Premade bulbs library.
    1. Click on the thumbnail image or triple dots icon behind the bulb, and select settings.

    2. Expand the privacy settings, and select one of the four settings:

      • Public: The bulb will be visible to all PlayPosit users in Premade bulbs library’s All PlayPosit section.
      • Visible to members of your district/institution: Other instructors from the same district/institution can view and copy this bulb.
      • Visible to members of your school/site: Only instructors from the same school/site can view and copy this bulb.
      • Private: not listed in the Premade bulb library.

    3. Select Save to save the change.

    NOTES:
    • The instructor can also adjust the privacy default settings in the user profile. Please click on the instructor’s name on the sidebar, select User settings, and scroll down to the instructor visibility section. Please note the change will only affect the bulbs created after the change and will not change the privacy settings for the existing bulbs.
    • The bulbs set to private are still visible to the organization administrators from the admin media library.

    Please follow the steps below to copy the bulb from the Premade bulbs library.

    1. Navigate to the Premade bulbs library with the sidebar.
    2. Select the library of your district or All PlayPosit from the tab above.
    3. Use the search tools to apply filters to the library.

    4. Find the desired bulb, click the thumbnail image or the triple dots icon, and select Copy.

    5. Select Copy & Edit to copy the bulb and open it in the bulb designer right away, or Copy Only to copy the bulb into the instructor’s account. Instructors can always edit the bulb afterward.

Playlist

Playlist’s Ownership

Instructors can find ownership of the playlist by checking the icon in front of the playlist's title. There are three different types of ownership:

  1. Owner: No icon in front of the title. The instructor is the author of the playlist.
  2. Co-owner: A pen icon in front of the title. The co-owner can edit, assign, and monitor the playlist but can not add other instructors as collaborators to the playlist.
  3. Facilitator: A eye icon in front of the title. The Facilitator can assign and monitor the playlist but can not edit or add collaborators to the playlist.

Add collaborators to the playlist

  1. Click the playlist icon or the triple dots icon behind the playlist, and select Collaborate.

  2. Enter the email address for the collaborator. Choose the access type to be “Can edit”(co-owner) or “Can view/assign”(facilitator), and select Add access.

NOTES:
  • Only the instructors from the same school can be added as collaborators to the playlist.
  • While they can’t add collaborators to the playlists, co-owners and facilitators can follow these steps to view who is collaborating on the playlist with them.
  • The Co-editor of the playlist will also be added as a co-editor to all the bulbs in the playlist and will be able to edit those bulbs in the playlist.

  1. Click the playlist icon or the triple dots icon behind the playlist, and select Collaborate.

  2. The access type for each collaborator will be listed behind their name.

  3. Expand the drop-down menu to change the access type, remove the access, or transfer the playlist's ownership.
NOTES: 

When the playlist's ownership is transferred to another instructor, the permission of the bulbs in the playlist will only be adjusted for the new playlist owner if it is to a higher permission level.

For example, if the playlist is transferred from instructor A to instructor B:

  • If instructor A is the facilitator of a bulb in the playlist, and instructor B is the co-owner of that bulb. After transferring the playlist, instructor B will still be the co-owner of the bulb. 
  • If instructor A is the owner of a bulb in the playlist, and instructor B is the co-owner of that bulb. After transferring the playlist, instructor B will become the owner of that bulb.

Sharing playlists with other instructors

If the instructor does not want to work on the same playlist with other instructors but wants to let them copy the playlist and make their own changes, there are two options to share the playlist for other instructors to copy into their accounts.

  1. Share the copy link:

    1. Click on the playlist icon or the triple dots icon, and select Share a copy.
    2. Copy the link, and share it with other instructors. If the instructor does not want other instructors to change the content in the playlist, please toggle on the Facilitator copies option.
    3. When other instructors open the link, they will be prompted to copy the playlist to their account.
  2. Share through the Premade bulbs library: Instructors can also view the playlists created by other instructors in the same organization and copy those playlists from the Premade bulb library. Please follow the steps below to adjust the settings for whether the playlists will display in the Premade bulbs library.
    1. Click on the playlist icon or triple dots icon behind the playlist, and select Edit.

    2. Expand the Playlist Visibility settings, and select one of the four settings:
      • Public: The bulb will be visible to all PlayPosit users in Premade bulbs library’s All PlayPosit section.
      • Visible to members of your district/institution: Other instructors from the same district/institution can view and copy this bulb.
      • Visible to members of your school/site: Only instructors from the same school/site can view and copy this bulb.
      • Private: not listed in the Premade bulb library.

    3. Select Save&Exit to save the change.

    NOTES:

    Please follow the steps below to copy the playlists from the Premade bulbs library.

    1. Navigate to the Premade bulbs library with the sidebar.
    2. Select the library of your district or All PlayPosit from the tab above.

    3. Use the search tools and change the type to Playlists. Apply other filters as needed.

    4. Find the desired playlist, click the thumbnail image or the triple dots icon, and select Copy.

    5. Select Copy playlist to copy the playlist and open it in the playlist designer.

Folder

Besides helping instructors organize their content, folders can also be used to mass share bulbs with other instructors. Please see this article for more information about creating folders and adding bulbs to them.

Sharing folders

  1. Go to the Folders page, click the triple dots icon behind the desired folder, and select Share.

  2. Copy the link, and share it with other instructors.

  3. When other instructors open the link, they will be asked to copy the folder to their account. They will find the copied folder on their Folders page, and the bulb in that folder will show up on their My bulbs page automatically.

Classes

NOTES: This section is for the classes created within PlayPosit. If the instructors would like to collaborate on classes linked with an LMS, please configure the collaboration settings from the LMS.

Classes' ownership

Instructors can find their ownership of the classes by checking the icon in front of the class title. There are three different types of ownership:

Add collaborators to the class

  1. Click on the title of the desired class.

  2. Select Collaborate on the top left.

  3. Enter the email address of the collaborator. Choose the access type to be an instructor or teaching assistant, and select Share access.

NOTES: 
  • The input section for the collaborators' emails can only take up to three emails at a time. If more than three instructors need to be added, please add them to the class separately.
  • For the co-instructors and teaching assistants to monitor the playlists in the class, the owner of the class will also have to add them as co-editors or facilitators to the playlist. Please follow the workflow in this section to add co-editors or facilitators to playlists.

Edit permissions or transfer classes’ ownership

  1. Click on the title of the desired class.

  2. Select Collaborate on the top left.

  3. The access type for each collaborator will be listed behind their name. 
  4. Expand the drop-down menu to change the access type, remove the access, or make a collaborator a new owner for this class. If the ownership is transferred to another instructor, the original owner will become the instructor of the class, and the new owner will also be the owner of all the bulbs in this class.
